HOW TO ORGANIZE YOUR DIGITAL FILES
When the number of files on your computer piles up, it can be really easy to just tell yourself that you’ll use the search tool to find what you’re looking for. However, this method means that you can misplace files and waste time hunting. If you search for one thing but saved it as something else, it’s unlikely you’ll find it. Here are some tips to organize your digital files.
HAVE A SYSTEM FOR NAMING YOUR FILES AND BE CONSISTENT
Use a naming convention and be consistent. You could name your files by name, date, purpose, etc. Pick one and stay with it. Doing this with old files means that your whole system will be organized. Keep naming and storing conventions the same across your devices, whether they are for personal or professional use. Spend more time using your documents than searching for them. When the system is simple and maintained, finding is a snap.
DELETE DUPLICATES
There is absolutely no point in having more than one copy of a digital file, so delete all the duplicates you have lying about.
CLEAN OUT YOUR DOWNLOADS
Your downloads are often forgotten about once used for their purpose, so cleaning this folder out will clear up a lot of space.
DELETE YOUR TEMPORARY FILES
It’s completely safe to delete temporary files from your computer. It’s easy to delete the files and then restart your PC for normal use. The job is usually done automatically by your computer, but it doesn’t mean that you can’t perform the task manually.
BACK UP YOUR FILES
There is never a 100% guarantee that you won’t lose your files, so it’s best to have them backed up to the cloud, as well as to an external hard drive.
DON’T BE AFRAID OF SUBFOLDERS
You can group related files under client names, project names, similar dates, a certain timeframe, or even type of document (invoices, receipts, etc.). Having clear categories for documents can sometimes mean that those categories need smaller categories. You can absolutely have a folder full of folders of files for different clients for example, and then have that lead to their respective documents.
IT’S AN ONGOING PROCESS
You can’t decide that you’ll organize once and then leave it at that. You have to keep making a conscious effort to stay tidy! But it’s well worth it, if it means finding your files with ease, consistently.
